Before starting this training/workbook, learners need to:
· Be able to access and navigate ionMy
· Understand the basic concept of configuration in ionMy
· Understand your organisation’s system requirements
· Know your organisation’s alert requirements
How to use this Guide
This guide intends to walk you through the drop down list aspects for managing your DataWatch Dashboard features and how to configure them. Throughout the workbook, there may be callouts with instructions to watch a video on the ionMy Mastery channel.
Videos are optional; however, they are recommended if you are completing this guide outside of training.
Introduction
The DataWatch feature within the ionMy solution is a powerful monitoring tool designed to enhance organisational compliance by offering visual oversight and proactively alerting users to potential risks and issues across various operational areas. By enabling automatic notifications for unresolved issues, threshold, repeated events, and emerging trends, DataWatch Alert helps organisations maintain compliance, improve response times, and manage risks more effectively.
The monitoring system is highly configurable, allowing users to set up customised alerts through a simple wizard interface. This ensures that key personnel are informed promptly about critical incidents in areas such as clinical care, governance, and human resources, enabling timely decision-making and intervention. DataWatch not only streamlines communication but also supports continuous improvement by tracking and analysing data trends.
Please note: this training will not cover processing of records.

Getting Started
Navigating DataWatch Configuration
This training will guide you through the process of setting up drop down field configuration aspects for the DataWatch Dashboard and associated alerts
Drop Down List
Navigate to your ionMy homescreen dashboard
Hover your mouse on Settings
Click on the Drop Down Fields sub menu
Updating risk based ddl’s may be required to ensure that any risk rating based alerts for Incident, Hazard, Risk, and/or Complaints can be displayed on your DataWatch Alert Dashboard.
Scroll down to the Incident/Injuries section
Click on the blue Ratings option. The page will navigate you to the rating details page
From the ddl, select the risk group you wish to monitor in your DataWatch dashboard and alerts.
Tick the checkbox under the column titled “Is Show in DataWatch for the ratings you want to display on the DataWatch dashboard. This will likely be your high and extreme options.
Click on the Save button located at the top right of your browser screen.
Repeat steps 6-8 for any additional risk groups you wish to monitor.
Repeat these same steps to flag the ratings you wish to monitor on the DataWatch Dashboard for Risk, Hazard and/or Complaints.
The following steps guide you through selecting which credentials you want monitored on the DataWatch Dashboard when they are expiring.
Repeat above steps from 1-3
Scroll down to Credentials & Training
Click on the blue Credential option. The page will navigate you to the list of credentials configured for your organisation.
Locate the credential you wish to monitor and click on the blue edit pencil icon. A popup will appear to allow you to make changes.
Tick the “Is Show in DataWatch” checkbox
Click on the blue Save Changes button.
Repeat steps 13-15 for any additional credentials you wish to monitor.
These next steps guide you through selecting which surveys and/or audits will be displayed on the DataWatch dashboard when they are due for submission.
Repeat steps 1-3 from the Risk Rating section above
Scroll down to the Survey / Audit Setup section
Click on the blue Survey/Audit Category option. The page will navigate you to the list of survey categories configured for your organisation.
Locate the survey or audit you wish to monitor and click on the blue edit pencil icon. The system will navigate you to the Survey Category Details page.
Tick the checkbox for “Is Show in DataWatch” for the category you want to monitor on the DataWatch dashboard.
Click on the Save button located at the top right of screen.
Repeat steps 20-22 for any additional credentials you wish to monitor.
These next steps guide you through showing the ‘Show in DataWatch’ checkbox on your Training Courses
Navigate to your ionMy homescreen dashboard
Hover your mouse on Settings
Click on Field Settings. The page will take you to your custom label settings
Click on Governance > Training Course Library > Course Details (Training_Course_Details.aspx).
You will see the list of fields available in the Training course details page
Click on blue edit pencil in the left column, next to “Is Show in DataWatch”
Tick the ‘Visible’ checkbox
Click the grey tick icon to save the changes
Note: This checkbox will now appear on all training courses. You only need to update the course details for those you want to display on the DataWatch Dashboard when the training course expiry alert is triggered for specific staff
These final steps guide you through selecting which training courses will be displayed on the DataWatch dashboard when they are nearing expiry
Navigate to your ionMy homescreen dashboard
Hover your mouse over Governance
Click on Training Course Library. The page will redirect you to the training list page
Click on the blue edit pencil beside the training record you want to edit
The Page will redirect you to the Training Course Details page
Scroll down until you locate the “Is Shown in DataWatch” cfheckbox
Tick the checkbox.
We also need to enable the “Training Expires” checkbox so that expiry dates can be captured against employee training records.
Once done, click on save button located at the top of screen
Discussion – Followup Reminders
If this is an important action, you may want to have the reminders auto send reminders every e.g. 2 days after the followup date. Or if this a recurring type of action, or low priority, you can set the reminder field to e.g. 3 months.
Discussion – Training Expiry Dates For DataWatch to recognise expiring training, you must ensure that either the training course schedule or an employees individual training record includes an expiry date.

Navigate to your ionMy Homescreen Dashboard
Hover your mouse over Governance
Click on Committees. This will direct you to the committee list page
Select the first committee you wish to allow for use in the DataWatch module from the list page by clicking the bue view/edit icon
This will direct you to the Committee details tab
Scroll down to the bottom of the Committee Details where there is a checkbox labelled “ Is Show as DataWatch Alert Recipients”
Tick the checkbox
Scroll up and save the changes
Repeat steps 4 to 8 for any other committee you wish to be available for DataWatch alert purposes.
By enabling this tick box, administrators can specify which committees should be available in the DataWatch alert recipient list. Only committees marked with this option will appear as choices in the alert setup wizard, keeping the alert recipient list focused and manageable.
