Q1. Scheduled reports – there is no longer the option to send a link to the reports but previously sending an excel spreadsheet ignored any system permissions, is this still the case? Either way, this will be an issue for us, obviously a privacy issue for staff having access to information that they don’t need by ignoring the permissions. But also we currently send spreadsheets to staff that don’t have system permissions so they are able to use the information to do their role (ie, site OSH reps).

A1. Viewing these reports online does not currently require permissions (no security is applied), so we recommend restricting access to this module to System Administrators only. Scheduling pre-filtered reports is fine. With the release of the ionReports tool, there are three stages. In Stage 3, the team will implement permissions, making report results permission-based when viewed online. At that point, ionReports can be made available to all necessary user groups.

Q2. Can we now move reports between folders or do we still have to copy them into the new folder and delete the old one.

A2. To move reports between folders, open the report in edit mode and update the "Choose Folder" dropdown by selecting the desired folder to save the report in.

Q3. Is there no longer the option to have visual groups

A3. To categories fields in the table to have a higher level overview of the data before other details are displayed, there is an option to set fields to Outer Group (visual grouping). For example, if you would like to group Summary Report results by Site/Service Unit, not as a combined list, you would set the Site/Service (Org Unit Name) data field to Outer Group. Please refer to ionReports Formatting Reports Manual

Q4. Assigning to email addresses is an extremely manual task, especially with a high staff turnover, would it be possible to assign to a role instead? Even a dropdown of employees would be easier than tying in individual email addresses.

A4. We have passed this suggestion to our technical team for further discussion. We will keep you updated on any developments regarding this feature.

Q5. Is there a way to hide default reports or move them into one folder?

A5. In Stage 3 Version 7.1 , ionMy Default report suite will be released. These reports are not able to be deleted and will sit in a menu item separate to the customer report suite.

Q6. The filters require typing, we need checkboxes to select.

A6. This was only implemented for unit, type, and category in version 7.0. We have a ticket in version 7.1 to apply the lookup filter for other fields but you'll still need to use the xxx_code or xxx_id fields until we phase out Izenda.
