CREATING YOUR COMMITTEE DETAILS ON FIRST SETUP

From Governance > Committees, add in your Committee, with as much or little information as you want. The only Mandatory information is Name and it is best to enter a Start date.

It is great to add in as many Committee members that you know, so that agendas and minutes can be emailed to them during the Publish procedure.

Reminders can be sent to members before a meeting is due. Ensure your reminder template is set up to suit.

Usual Agenda items that occur for this committee can also be added. Once you add in a meeting, these items flow through to the Meeting detail screen which alleviates the need to enter Agenda Items manually every time. At Meeting Level you can then add/change/delete items to suit the upcoming meeting

Also ticking that you wish to auto create meeting dates, based on a recurrence pattern, and selecting which record types can be escalated to a Committee. (this is what controls the ‘Escalate to Committee’ button on records)

Meetings may be scheduled with dates being automatically calculated based on the recurrence pattern entered, or you can add in your schedules individually.

The system will automatically create your future meeting dates once you select Save

It is important to note that if you intend on making changes to any details on your Committee Details page, including the standing agenda, that you need to first remove any future meeting dates listed on your Meeting Schedule Dates tab.
